DonkeyBoard (team plans and tasks) New

BUSINESSWHITE-LABEL

DonkeyBoard is where your team plans the blog: who writes what, by when, and what is already done. It sits next to the posts themselves, so you do not need a second tool for it.

Open DonkeyBoard in the menu on the left. Everyone on your team can see it. It has three tabs: Plans, Notes and Logs.

DonkeyBoard, Plans tab: two plan cards with progress bars, the Plans, Notes and Logs tabs and the New plan button.

Plans

A plan is a list of tasks with one goal, for example "December posts".

Press New plan, give it a title and, if you like, a short description. Each plan card shows who created it and how far it is, for example "2 of 5 done".

When a plan is finished, open it and press Archive. It leaves the list but nothing is deleted: Show archived brings the archived plans into view, and Bring back makes one active again.

Tasks

Click a plan to see its tasks, then press Add task.

The December posts plan on DonkeyBoard: five tasks with owners and due dates, one overdue, one linked to a draft post.

A task has:

  • A title: what needs to be done
  • Details: optional
  • For: one team member, or Anyone
  • Due date: optional. An open task past its date is shown in amber.
  • Linked post: optional. Search your posts by title.
  • Important: important tasks are listed first.

Tick a task's checkbox to mark it done. The board notes who did it and when. Untick it to reopen it.

Use All, For me, Open and Done above the list to see only some of the tasks.

Tasks created by a Master carry a colored edge and a "From" label with the Master's name, so the team sees at a glance what came from the boss.

A task that ticks itself

Link a task to a post that is not published yet, for example a draft. The moment that post goes live, the task marks itself done and says "Done automatically: post published". This works however the post goes live: published from the editor, approved after a review, or scheduled and reaching its time.

Two details:

  • A task linked to a post that is already published (for example "update the old post") does not tick itself. Mark it done by hand.
  • Taking a post offline again does not reopen its task.

Shared notes

The Notes tab holds notes for the whole team: your house style, photo sizes, the newsletter day. Press New shared note to write one. A shared note is plain text, up to 10,000 characters, and can be pinned to the top.

Clicking a note opens it for reading; its author presses Edit to change it. If someone else changed it last, the note says "Edited by" with their name.

You can also send a note from your own Saddlebag to the board with Share to DonkeyBoard, and take your own note back.

Logs

The Logs tab lists what happened on the board, newest first: who added a task, who marked one done, which plan was archived. Everyone on the team can read it. The newest 500 lines are kept. Nothing from anyone's private notes ever appears there.

Who may do what

Everyone on the team can:

  • see the board, create plans, add tasks to any plan and write shared notes
  • mark any task done, or reopen it
  • change and delete their own plans, tasks and shared notes

Changing or deleting other people's items needs the Board Police permission. Master accounts always have it; give it to another role in Team and roles. Board Police never opens anyone's private notes.

Warning: Deleting a plan deletes its tasks too, and cannot be undone. Archive a plan if you only want it out of the way.

My tasks

Two places show your own open tasks without opening the board:

  • a number next to DonkeyBoard in the menu
  • the My tasks card on the dashboard, with a note when one is overdue

Both count the open tasks that are For you, in plans that are not archived.

Limits

  • 200 plans, archived ones included
  • 200 tasks in one plan
  • 500 shared notes
  • titles up to 200 characters; a plan's description and a task's details up to 2,000

Good to know

  • Backups: plans, tasks and shared notes are part of every backup. Restoring Everything from a backup made before version 1.01 leaves the board empty, because that backup has none; the safety backup made just before the restore still holds it.
  • When a team member is removed: their plans, tasks and shared notes stay and show "former member". Tasks that were for them become tasks for Anyone.
  • If your plan ends: the board cannot be opened below Business. Everything on it is kept and comes back when you renew.
  • White-label: on a white-labeled blog DonkeyBoard is called Team Board.
