Team and roles
PROBUSINESSWHITE-LABELInvite colleagues to write posts or look after comments, each with their own sign-in. Open Users in the menu on the left. It has three tabs: Team, Pending and, on the Business plan and above, Roles.
How many people
| Plan | Accounts, including yours |
|---|---|
| Pro | 5 |
| Business | Unlimited |
Pending invitations count too, until they expire. When every account is used, the invite form is switched off; remove someone or upgrade for more room.
Invite someone
- On the Team tab, type their Name and Email.
- On the Business plan, choose a Role. On Pro, everyone you invite joins as Editor.
- Press + Send Invite.
They get an email with a link that works for 7 days. They choose their own username and password, and are signed in straight away. Your blog needs working email for this; see Email (SMTP).
The Pending tab lists invitations not yet accepted. Resend sends a fresh link; Revoke cancels the invitation.
Change or remove a team member
On the Business plan, Edit on the Team tab changes a person's role; press Save to keep it. Everyone changes their own username, email and password themselves. To delete accounts, press Delete on one row or tick several and press Delete selected. DonkeyCMS asks for your own password first, because a deleted account cannot be brought back. The posts that person wrote stay on the blog.
Your own row is marked (you) and has no Edit or Delete: change your own details under My Account instead (see below).
Master accounts are protected: only another Master can change or delete one.
Roles and permissions (Business plan)

A role is a set of permissions you give to people. Every blog comes with three:
- Master: everything, always. It cannot be changed or deleted.
- Editor: everything to do with content: all posts, categories and tags, and comments. No settings and no team management. It cannot be changed.
- Author: writes and publishes posts, edits anyone's posts, and looks after categories, tags and comments, but cannot delete other people's posts. Change it as you like.
On the Roles tab, a Master can press + Add Role, give it a name (for example "Writer") and tick its permissions:
- Create & Edit Own Posts: write new posts and change or delete their own.
- Publish Posts: publish or schedule posts. Without it, their posts stay drafts until someone else publishes them.
- Edit Any Post and Delete Any Post: reach other people's posts too.
- Manage Categories & Tags
- Manage Comments: approve and delete comments.
- Manage Users: invite, change and remove team members. They cannot make anyone a Master.
- Manage Settings: the whole Settings page, including design, backups and integrations.
- View Analytics: the visitor numbers, read only.
- Board Police: change and delete anyone's plans, tasks and shared notes on DonkeyBoard. It never opens anyone's private notes.
Tip: A "Writer" with Create & Edit Own Posts but not Publish Posts lets a new team member draft freely while someone else decides what goes live. See also Review before publishing.
A changed role takes effect the next time each person signs in. A role can only be deleted when nobody holds it.
If your plan ends
When a site drops below Pro, only the first Master account can sign in. The other accounts are paused, not deleted: renew and everyone can sign in again, and their posts keep their author all along.
Your own account
Click your name at the top of the admin panel and choose My Account to change your username, email address or password. Any change asks for your Current password first, so nobody can take over your account from a computer you left signed in.
